Notes and document templates
Folder-organized document center to upload usable documents and manage reusable templates.
What it does
The Document Center is your organization’s library: reusable documents (contracts, policies, guides…) and e-signature templates, organized in folders. You manage it here, in the admin app; recruiters then use it in the ATS.
At the top of the page, four counters show the number of items: Total, Last 365 days, Last 30 days and Last 7 days. The list shows, for each item, its name and last update date, its status (Draft or Published), its owner and its sharing (Public, or Private — hover the badge to see the groups). You see the public items, the ones shared with your security group and the ones you created.
How to use it

Open Document Center
In the admin app, click Document Center in the Configuration section of the left menu, right after Templates.

Browse folders
Documents are organized by folder. The left panel shows Home and then your folders: click a folder to show its content. The house icon in the breadcrumb takes you back to Home. A padlock marks a folder restricted to some groups; hover it to see which ones.

Create or edit a folder
Click Add folder, give it a name (one per language if your organization uses several), then choose its sharing: Public, or one or more shared groups. A folder’s ⋮ menu offers Edit and Delete; a folder that still holds items cannot be deleted.

Add a document or a template
Open the folder you want, click Add New, then Document to upload an existing file or Template to create a reusable template (e-signature, see Document e-signature (BoldSign)). For a document, drop a single file (PDF, Word, OpenDocument, Excel, CSV, RTF, text, JPEG or PNG); it takes the file’s name. Choose its status and sharing, then click Save. In a folder restricted to some groups, a new item takes those groups and cannot be made public.

Manage items
Each row’s Action menu (⋮) offers Edit and Delete. For a document, Edit changes its status and sharing and lets you download the file; the name cannot be changed. For a template, Edit reopens the BoldSign editor.
What the ATS offers
In the ATS, recruiters do not manage the library: they pick items from it. Only published items are offered, if they are public, shared with the recruiter’s security group or created by them:
- documents, through the Document Center button next to the paperclip in the email windows;
- templates, through Send document on a candidate’s Files tab.
An item left in Draft therefore does not show in the ATS.
