Document e-signature (BoldSign)

Create a signature template, prepare it in the BoldSign editor and send it for signature from a candidate’s record.

What it does

A signature template is a document (offer letter, non-disclosure agreement…) on which you have placed, once and for all, the fields each signer role fills in. You create it in the Document Center of the admin app; recruiters then send it for signature from a candidate’s Files tab, in the ATS.

How to use it

  1. Create the template

    In the Document Center, open the folder you want, click Add New, then Template. Choose the sharing, the document language (if your organization uses several languages) and drop the document’s file; the template takes the file’s name.

  2. Define the roles

    Under Role(s), each role has a name (“HR” by default), a role (User, Candidate, Contact or External) and a type (Signer or Reviewer). Click Add Role to add more, then Save.

  3. Place the fields in BoldSign

    The BoldSign editor opens inside the page. Place each role’s signature, date or initials fields on the document, then finish creating the template. The template switches to Published and the Document Center list comes back. To change it later, choose Edit in its Action menu: the BoldSign editor opens again.

  4. Send for signature (in the ATS)

    From a candidate’s Files tab, click Send document, pick the template, fill in the signers for each role and send. The document shows on the Files tab, where you follow its signature.
