Send candidate email from kanban

Send an ad-hoc email to one or several candidates directly from the kanban — pick Custom, Template or Forward-job as starting point, then edit subject and content.

Who can use it
Anyone with email-send access on candidates.

Send an email to one or more candidates without leaving the kanban. The sidebar offers three starting points: a blank custom message, a template you’ve set up, or a job-forwarding template that already includes the job link.

When to use this

Use it when you need to email a candidate ad-hoc:

  • Confirm an interview slot they self-booked.
  • Ask a clarifying question about their resume.
  • Forward the job description as a reminder.
  • Send a custom follow-up to several candidates at once.

For structured actions (interview invites, deny emails, share emails), use the dedicated actions — they pick the right template automatically.

How to open it

  1. Find the candidate on the kanban.
  2. Open the applicant menu (or check several cards for batch send).
  3. Pick Send email. The sidebar slides in from the right.

What you fill in

Email type

Three options control where the subject and body start from:

  • Custom — blank canvas. Type everything yourself.
  • Template — pick from your organization’s active candidate-email templates. The subject and content prefill from the chosen template; you can still edit before sending.
  • Forward job — uses the system “job” template, which includes the candidate-facing job link. Useful for “have you seen this opening?” outreach.

Template picker

Visible when type = Template. Lists every active candidate-email template your organization has configured. Picking one prefills subject + content (and any attachments).

Subject

Required. Edit freely.

Content

Rich-text editor (bold, italic, lists, links). Required. The toolbar supports merge tags / variable insertion via the editor’s modules.

Attachments

If the template includes attachments, they appear in a file list under the editor. You can preview each one before sending. Attachments come pre-attached from the template — they’re not removed when you switch type.

What happens when you click Send

An email is sent to each candidate using the subject and content shown. The email is logged on the candidate’s timeline and (if your mailbox is configured) saved as a thread you can later open from the candidate profile.

If you multi-selected candidates on the kanban, one email is sent per candidate — they don’t see each other’s addresses.

Tips

  • Templates save real time. Build a small set for the messages you send daily — interview confirmation, status update, request for more info.
  • Personalize the opening line. Even with a template, a one-sentence custom intro increases reply rates noticeably.
  • Bulk send is one email per candidate. They’re not BCC’d together — each candidate gets a separate email.
  • For structured workflow emails (interviews, declines), use the dedicated actions — they pick the right template and capture state at the same time.
