Share candidate with colleague
Send a candidate’s profile to an internal user or an external email, with an optional note. Internal shares stay inside Nextal; external shares email a public profile link.
Share sends a candidate’s profile to someone — either an internal Nextal user or an external email address — with an optional note. Useful for second opinions, hand-offs, and showing a hiring manager (who doesn’t use Nextal day-to-day) a specific candidate.
When to use this
- You want a colleague to give a second opinion on a candidate.
- You’re handing the candidate over to another recruiter or hiring manager.
- The hiring manager doesn’t use Nextal regularly and just needs to see this one candidate.
How to open it
- Find the candidate on the kanban.
- Open the applicant menu on the card.
- Pick Share. The sidebar slides in from the right.
What you fill in
Candidate(s)
Read-only list of the candidates being shared. Multi-select from the kanban is supported.
To internal users
Auto-complete picker for users who have a Nextal account at your organization. Pick as many as needed. Internal shares show up inside Nextal for the recipient.
To external users
An email picker that lets you type any address and add it. Pick as many as needed. External shares send an email with the candidate’s profile link — the recipient sees a public version of the profile (built from the share template) without needing a Nextal account.
Note
A free-text note that goes along with the share — context for why you’re sending this, what you want feedback on. Recommended for external shares; the recipient otherwise has no context.
Subject and Content (read-only preview)
The email subject and body for external shares are built from your organization’s “publicCandidate” email template — shown here read-only so you can see what will be sent. To edit the template itself, an administrator can change it in the email-template settings.
What happens when you click Send
For each candidate × each recipient combination:
- Internal user shares — the recipient gets the candidate visible inside Nextal, with your note attached.
- External email shares — the recipient receives an email built from the share template with a link to a public view of the candidate’s profile and your note.
Email validation runs before sending — invalid addresses block submission with a clear error message.

Tips
- Always include a note for external shares. The recipient may not have asked for this — context matters.
- Internal vs. external is your choice, not a permission. You can mix both in the same share.
- External link expires by policy. Check with your administrator if your organization sets a link expiry — some do, some don’t.
- Note is not the email body. The email body comes from the template; the note is appended as context.
