Job statuses
Job statuses describe the lifecycle stage of a job posting — from initial draft through active sourcing, on hold, and eventually closed or filled. Recruiters set the status on each job; managers and administrators use it to filter and report on the portfolio of open roles.
How statuses are used
A job status appears on the job detail page, in the job list, and in reports. Recruiters update it manually as the role progresses. The status also feeds the Job analytics report, where hiring managers can track how many positions are in each stage and how long each has been open.
Adding a status
- Go to Configuration → ATS settings → Job and open the Statuses tab.
- Click Add new value.
- Set the Active toggle.
- Choose a Color — six choices are available: grey, blue, green, cyan, orange, and red.
- Choose a Type from the job status type dropdown.
- If your account supports more than one language, select the Language and enter the Label for each language.
- Click Save.
Editing and reordering
Click the edit action to rename a status, change its color, or change its type. Use the ▲▼ arrows to reorder — the order here determines how statuses are sorted in the filter dropdown on the job list.
Activating and deactivating
Toggle Active in the edit panel to deactivate a status. Jobs that currently hold the deactivated status keep it displayed on their detail page, but recruiters cannot select it for new or updated jobs. Use deactivation to retire statuses that were relevant to a past process without losing historical data.
There is no delete action for statuses — a status can only be deactivated or reordered.
Tips
- Keep statuses linear where possible. Draft → Open → On hold → Closed / Filled is easy to follow in reports.
- Distinguish “On hold” from “Closed”. On hold means the role is paused but still open. Closed means it is no longer pursued.
- Add a “Filled (internal)” status if your organization tracks internal hires separately from external ones — it makes headcount reporting far more accurate.
- Coordinate status names with your job closure reasons. When a job is closed with reason “Position eliminated”, the status should reflect that the job is truly closed, not just on hold.
